What is DalCLASS?

DalCLASS is Dalhousie University's official tool for managing administrative records. It helps the university follow its Records Management Policy by providing the official rules on how to organize, keep, and safely dispose of university files.

How is it organized?

Instead of organizing by individual departments, DalCLASS is organized by business functions (like finance, human resources, or student services) that span across all offices and units at Dalhousie.

  • Categories (Records Series): Each business function is broken down into specific categories of records.
  • Numbered Blocks: Each category is assigned a block of numbers, leaving plenty of room for the system to grow as the university changes.

What information does it provide?

For every type of record, DalCLASS clearly outlines:

  • The Description: What the files are, what they contain, and why they were created.
  • The Owner: Which office or department is officially responsible for keeping them.
  • The Rules (Retention & Disposition): Exactly how long you must keep the files, and what to do with them when they are no longer active (such as destroying them or sending them to the University Archives). These rules are fully approved by the University Records Committee.
